Every decision, on the record

ProofNow keeps a running history of every proof: who looked, what they said, which version they approved and when. So when someone asks “who signed this off?”, you have the answer in one click.

The first version of an Ovella iced oat latte poster in ProofNow, with comments from Maya Brooks about the price and allergen line and a copy change from Leo Hart

Answers, not guesswork

Weeks later, someone always asks how a decision was made. The audit log answers with names, times and the exact words people used.

Who signed off the final poster?

Hannah Reid approved it in the Client sign-off step:

“Approved for print. Thank you, team!”

Client sign-off

Did anyone chase the client?

Tom sent Hannah a reminder, with a note:

“The printer needs the file by Thursday. Could you take a look today?”

Client sign-off

Was it 50 copies or 60?

Hannah changed her comment. The log keeps both:

Looks great. Please print 50 for the cafés.

“Looks great. Please print 60, we have two new cafés opening in June.”

Client sign-off

Why did the price change?

Maya asked for it on the first version:

“Price goes up to £3.40 from 1 June, can we update the roundel?”

Brand & copy

Follow one proof from first look to final yes

A window poster for Ovella’s new iced oat latte went through brand, copy and the client. Here is how its audit log tells the story.

1. Brand & copy

Brand & copy ask for changes

Maya flags the price and a missing allergen line. Leo suggests a better phrase. Maya asks for changes, and every comment is saved with the version it was made on.

AI reviews

About AI reviewers

Each entry shows the person, the time, the review step and the version it belongs to.

History that stays the way it happened

Nobody can edit or remove an entry, not even an admin. If something changes later, the log shows the change instead of hiding it.

Edits keep the original

Changed comments and decisions show the old wording next to the new.

Looks great. Please print 50 for the cafés.

Looks great. Please print 60, we have two new cafés opening in June.

Steps keep their name

Rename or remove a review step later and old entries still read as they did.

Audit log questions

What does the audit log record?
Every approval and request for changes, every comment and edit, new versions and the files they changed, each move to the next review step, reminders and emails sent to reviewers, and the first time each person opens the proof. Changes to the proof itself, like a new deadline or different reviewers, are recorded too.
Who can see the audit log?
The proof owner, project owners and organisation admins. Reviewers and clients do not see it, so they can review without seeing internal notes about the process.
Can someone change what the audit log says?
No. Nobody can edit or remove entries. When a comment or decision is changed later, the log keeps the original wording next to the new one, and review steps keep the name they had at the time, even if you rename them later.
Can I share the audit log with a client or my manager?
Yes. Export it as a spreadsheet file that opens in Excel or Google Sheets, with the time, person, step, version and details of every entry.
Does it work inside monday.com?
Yes. Open the audit log from any proof, in the ProofNow app or from the item view on your monday.com board.
Is the audit log included in every plan?
Yes. Every plan includes the full audit log for every proof, with nothing extra to set up.
